Haularo Privacy Notice
This notice explains how ⟦Haularo legal entity name⟧ (“Haularo”, “we”) handles personal information on our website, in the Haularo web application, the driver app and the partner portal (together, the “Service”). It is effective from the date shown at the top of this page.
1. Two roles
Our own information. For our website, the accounts of the people who use Haularo, sales enquiries, support and billing, we decide how personal information is used.
Our customers’ information. Trucking companies (“carriers”) use Haularo to run their business. The information they put into the Service — about their drivers, vehicles, loads, customers and partners — belongs to them. We process it only on their behalf and under their instructions, as a service provider. If you are a driver, or work for a carrier’s customer or broker, please send requests about that information to the carrier; we will help them respond.
2. What we collect for ourselves
- Identifiers and contact details: name, work email, phone, company name, job title — from you when you sign up, are invited or contact us.
- Account and security information: password (stored only as a hash), two-factor settings, session and sign-in records, IP address and browser type.
- Commercial information: plan, invoices and payment status.
- Usage information: pages and features used, errors, and approximate location derived from IP address.
- Records of agreement: which version of our terms you accepted, when, and from which IP address and browser.
3. What carriers keep in Haularo
For transparency, the Service is designed to hold: driver identity and contact details; commercial driver’s license number and expiry; medical certificate, drug and alcohol testing and driver-qualification dates; motor vehicle records the carrier uploads; accident and incident records; location reported through the driver app or the carrier’s connected devices, when the carrier uses location features, and where a delivery was confirmed; proof-of-delivery photos and signatures; and contacts at brokers and shippers. Some of this is sensitive personal information; it is used only to provide the Service to the carrier. We do not collect biometric identifiers or biometric information, do not use facial recognition and do not extract facial geometry from photos. Drivers should photograph freight and documents, not people.
4. How we use information
To provide, secure and support the Service; to operate accounts and billing; to prevent fraud and abuse; to comply with law; and to improve the Service using aggregated or de-identified information. We do not use carriers’ information to train our own or third-party AI models.
5. Who we share it with
Service providers that host and operate the Service for us (listed on our subprocessor page); professional advisers; authorities when the law requires it; and a buyer or successor in a merger or acquisition. We do not sell or share personal information, and we do not use or disclose sensitive personal information for purposes other than those the law permits.
6. Cookies, Do Not Track and Global Privacy Control
The Service uses only cookies that are strictly necessary: to keep you signed in, protect forms against forgery and remember your theme. We do not use advertising cookies or pixels. Our website does not respond to browser Do Not Track signals because no industry standard exists; we honor Global Privacy Control as a request to opt out of sale or sharing where the law requires it.
7. How long we keep it
Account and billing records: for the life of the account and as long as tax and accounting law requires afterwards. Records of agreement to our terms: for the life of the account and the period in which a claim about it could be brought. Security and audit logs: as long as needed to protect the Service and investigate incidents. Carriers’ information: as the carrier instructs and our agreement with them provides; after a subscription ends we keep it until the carrier asks us to delete it, and then delete it within 30 days, except copies in backups, which expire on their normal cycle. Carriers have their own legal duties to keep driver and safety records.
8. Security
We use encryption in transit, hashed passwords, two-factor authentication for staff, session revocation, role-based access, per-company data separation, hashed and scoped API keys and signed webhooks. No method of transmission or storage is completely secure. If a security incident affects carriers’ information, we notify the affected carriers without undue delay so they can meet their own obligations.
9. Your rights
Depending on where you live, you may have the right to know what personal information we hold about you, to receive a copy, to correct or delete it, to opt out of sale, sharing or certain profiling, to limit the use of sensitive information, to appeal our decision, and not to be discriminated against for exercising these rights. Send requests to ⟦privacy contact email⟧; we will verify your identity and may accept requests from an authorized agent. Requests about information a carrier holds are passed to that carrier.
10. Children
The Service is for businesses and adults. We do not knowingly collect information from children under 16.
11. Visitors outside the United States
The Service is offered to US businesses and hosted in the United States. If you visit from elsewhere, your information is processed in the United States.
12. Changes
We will post changes here with a new effective date and keep earlier versions available. For material changes we will also notify account administrators by email and in the Service.
